CANCELLATION POLICIES

GROUPS, CONFERENCE, AND EVENT CANCELLATIONS (5 rooms and more):
• Greater than 90 (ninety) days prior to arrival, 100% (one hundred percent) of the rooms and day delegates may be cancelled
without any penalty.
• 90 – 60 days prior to arrival, 20% (twenty percent) of the rooms and day delegates reserved may be released without penalty.
Any additional rooms and day delegates released by the client are subject to a penalty equivalent to 10% (ten percent) of the
negotiated rate.
• 59 – 46 days prior to arrival, 10% (ten percent) of the rooms and day delegates reserved (at that point) may be released without
any penalty. Any additional rooms and day delegates released by the client is subject to a penalty equivalent to 50% (fifty
percent) of the negotiated rate.
• 45 days or less prior to arrival, all rooms and day delegates released by the client is subject to a penalty equivalent to 100% (one
hundred percent) of the negotiated rate.
• Once this booking is confirmed, 100% (one hundred percent) cancellation is charged on venues, activities, special menus,
equipment, special events, and any other facility and or service arranged on behalf of the client by the property.

* Once this booking is confirmed all policies as stipulated in your contract with aha Hotels & Lodges will apply to
your booking.

ORGANISER FOC POLICY

Conferences booked with accommodation will include a complimentary room for the facilitator / organizer as below:

LODGES
• Group definition: 10 full paying rooms or more constitutes a group
• 10 rooms – 14 rooms: 1 complimentary single room for facilitator/organiser

SHEPHERD’S TREE GAME LODGE & IVORY TREE GAME LODGE
•. Group definition: 15 full paying rooms or more constitutes a group 15 rooms: 1 complimentary single room for
facilitator/organiser

CITY HOTELS & RESORTS
• Group definition: 10 full paying rooms or more constitutes a group
• 10 rooms – 14 rooms: 1 complimentary single room for facilitator/organiser

ALPINE HEATH RESORT
• Group definition: 10 full paying rooms or more constitutes a group
• 10 or more bedrooms (Full paying Guest Bedrooms) group will qualify for 1 complimentary room for the facilitator/
organiser

Rate Sheet Notes

• To qualify for the MICE Rates, you are required to book a minimum of 10 delegates (for day conference), 10 rooms for 24-hour package / overnight conference.
• Rates exclude Park Levies
• Rates are subject to change without prior notice.
• Rates are quote per room / per person as stated per property.
• South African properties Inclusive of VAT @ 15% subject to change
• All Government taxes and levies as applicable. AHA Hotels & Lodges unilaterally reserves the right to automatically, without prior notice, increase the rates accordingly should such Government taxes or levies be amended or should a further tax or levy be introduced during the duration of this Agreement.
